ROLE: Document Control Specialist and Technical Editor

PROJECT OVERVIEW:

The Sound Transit East Link I-90 Seattle to Bellevue project is the first-ever light rail project in the world to operate rail on a floating bridge. The challenges were to come up with a steadfast track design that would withstand the dynamic and multidimensional movement of the bridge.

SKILLS:

As the sole East Link Document Control Specialist, I coordinated the design submittals to Sound Transit and managed a SharePoint site of more than 5,000 documents and project-related files. I provided SharePoint support to the consultant and engineering team of more than 380 people, retrieved information for the engineering team including reference files, as-builts, letters of concurrence, and permits. I handled all of Sound Transit’s requests for design deviations (RFDs) while tracking submittals and acceptance through their quality audit process, while developing, managing, and updating the submittal matrix for Sound Transit which tracks the deliverables, acceptance dates, review comments, and pending items. I created a document control procedure and manual for the project and initiated protocol for document management on the SharePoint site. I also prepared the project team for quality control audits, uploaded check prints, calculations and checklists to SharePoint, and ensured that the team was following all mandated quality control procedures. As the Document Control Specialist and Communications Specialist, I managed all hard files of documents complying with Sound Transit’s procedures for document audits which entailed indexing, storing, retrieval and the disposition of public records, capturing/distributing project progress meeting minutes, setting up conference calls with coordinating agencies and project stakeholders, provided technical assistance for presentations; formatting technical memorandums, reports and spreadsheets for the team, in addition to proofreading documents and editing for content. As a result, the project team passed all Document Control audits for the Sound Transit agency. I was also tasked to manage project correspondence, submitting tracked project change requests (PCRS), administrative staff requests, and change orders. Additionally, collaborating with the Project Manager in writing the Monthly Project Progress Report, which shows the percentage of work completed, submittals, and upcoming work on the project.

PROJECT MILESTONES:

On behalf of Sound Transit, I compiled CDs and printed plan sets for coordinating agencies such as WSDOT, City of Seattle, and the City of Mercer Island. The East Link Project is now in construction and is due to open in 2023. All Sound Transit document control audits were passed successfully.
